Welcome to Polarboard. By using our service, you agree to these terms. Please read them carefully.

1. Acceptance of Terms

By accessing or using Polarboard ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, you may not access the Service.

2. Description of Service

Polarboard is a project management and collaboration platform that allows users to create boards, organize tasks, collaborate with team members, and record meetings with AI-powered transcription and analysis. We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time.

3. User Accounts

To use our Service, you must:

  • Be at least 13 years of age
  • Provide accurate and complete registration information
  • Maintain the security of your account credentials
  • Promptly notify us of any unauthorized use of your account
  • Accept responsibility for all activities under your account

4. Acceptable Use

You agree not to:

  • Use the Service for any illegal purpose or in violation of any laws
  • Upload or share content that is harmful, offensive, or infringes on others' rights
  • Attempt to gain unauthorized access to the Service or other users' accounts
  • Interfere with or disrupt the Service or servers connected to it
  • Use automated means to access the Service without our permission
  • Resell or redistribute the Service without authorization
  • Use the Service to send spam or unsolicited communications

5. User Content

You retain ownership of any content you submit to the Service ("User Content"). By submitting User Content, you grant us a worldwide, non-exclusive, royalty-free license to use, reproduce, modify, and display such content solely for the purpose of providing and improving the Service.

You are responsible for your User Content and represent that you have all necessary rights to submit it and grant us the license described above.

6. Meeting and AI Services

Our meeting transcription and AI features are subject to the following additional terms:

  • Meeting recordings and transcripts are processed using third-party AI services. While we strive for accuracy, AI-generated content (summaries, action items, etc.) may contain errors and should be reviewed by users.
  • You are responsible for obtaining consent from all meeting participants before recording. Polarboard is not responsible for violations of recording consent laws in your jurisdiction.
  • AI-generated meeting summaries, action items, and board content are provided as suggestions. You review and approve all AI-generated content before it is applied.
  • Meeting audio may be temporarily processed by our transcription partners but is not permanently stored by third parties unless required for service operation.

7. Privacy

Your use of the Service is subject to our Privacy Policy, which is incorporated into these Terms by reference.

8. Intellectual Property

The Service and its original content (excluding User Content) are protected by copyright, trademark, and other laws. Our trademarks and trade dress may not be used without our prior written consent.

9. Payment Terms

For paid subscriptions:

  • Fees are charged in advance on a monthly or annual basis
  • All fees are non-refundable except as required by law
  • We may change our fees upon 30 days' notice
  • You are responsible for providing valid payment information
  • Failure to pay may result in suspension or termination of your account

10. Free Trial

We may offer a free trial period. At the end of the trial, you will be automatically charged unless you cancel before the trial ends. We reserve the right to modify or discontinue free trials at any time.

11. Termination

We may terminate or suspend your account immediately, without prior notice, for conduct that we believe violates these Terms or is harmful to other users, us, or third parties.

You may terminate your account at any time by contacting us. Upon termination, your right to use the Service will cease immediately.

12. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

We do not warrant that the Service will be uninterrupted, secure, or error-free.

13. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL POLARBOARD, ITS DIRECTORS, EMPLOYEES, PARTNERS, OR SUPPLIERS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL.

OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.

14. Indemnification

You agree to defend, indemnify, and hold harmless Polarboard and its officers, directors, employees, and agents from any claims, damages, or expenses arising from your use of the Service or violation of these Terms.

15. Governing Law

These Terms shall be governed by and construed in accordance with the laws of Spain. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Almeria, Spain.

16. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of any material changes by posting the new Terms on this page and updating the "Last updated" date. Your continued use of the Service after such changes constitutes acceptance of the new Terms.

17. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

18. Entire Agreement

These Terms constitute the entire agreement between you and Polarboard regarding the Service and supersede all prior agreements.
