Terms of Use

These terms are an agreement between you and Hola Money SL (“we”), which runs PolarBoard. By creating an account or using PolarBoard, you agree to them. Our Privacy Policy explains how we handle personal data.

The service

PolarBoard is provided free of charge. To keep it that way for everyone, meetings, AI requests and invitations come with a fair-use allowance, which you can see on your Account page. We keep improving PolarBoard, so features may change over time.

Your account

• You must be at least 16 years old to use PolarBoard.
• Give us accurate details, and confirm your email address when we ask.
• Keep your password safe. You’re responsible for what happens under your account.
• One person per account. Please don’t create accounts automatically or in bulk.

Your content

What you put into PolarBoard stays yours. You give us permission to store, process and display it as needed to run PolarBoard for you and your team, including sending it to the service providers listed in our Privacy Policy for features such as transcription, meeting notes and the assistant. Make sure you have the right to share anything you upload.

Meetings and recordings

Before you record or transcribe a meeting, with the notetaker or in the room, you must tell the other participants and get any consent the law requires where you and they are. The notetaker joins calls under a visible name, and you can remove it at any time.

AI features

Transcripts, meeting notes, answers and the assistant are produced automatically and can be wrong. Check anything important before you rely on it. The assistant shows you every change before making it; you’re responsible for the changes you approve.

Acceptable use

Don’t use PolarBoard to:

• break the law, or upload content you have no right to share;
• harass, threaten or harm anyone;
• send spam, including through project invitations;
• try to get into accounts or data that aren’t yours, or interfere with how PolarBoard works;
• get around the fair-use limits, for example with multiple accounts.

If an account breaks these rules, we may suspend or close it.

Availability

We work hard to keep PolarBoard running and your data safe, but we provide it “as is” and can’t promise it will always be available or free of errors. You can download a copy of your data at any time from your Account page.

Liability

To the extent the law allows, we aren’t liable for indirect or consequential losses, or for loss of data, profits or business, arising from your use of PolarBoard. Nothing in these terms limits liability that can’t be limited by law, or takes away your rights as a consumer.

Ending your use

You can stop using PolarBoard and delete your account at any time from your Account page. What happens to your data when you do is explained in the Privacy Policy.

Changes to these terms

If we change these terms, we’ll update this page and the date at the top, and tell you by email about significant changes before they take effect.

Law

These terms are governed by Spanish law. If you’re a consumer, you also keep the protection of the mandatory laws of the country where you live.
